Departures are the moment at which information leaves and claims begin, and a consistent process addresses both.
Before the last day. Preserve the mailbox and files before reissuing the device; disable external transfer capability where policy permits; and review access logs for unusual activity in the preceding weeks.
Exit interview. Conducted by someone other than the manager, covering the reason for departure, any concerns about conduct or treatment, and — recorded — confirmation that the employee has raised any complaint they wish to raise. This document is used in every subsequent claim.
Obligations reminder. A written acknowledgement of continuing confidentiality, invention assignment, and any restrictive covenants, with copies attached. Signed.
Property return. Devices, keys, cards, documents, and confirmation that no company data remains on personal devices or cloud accounts.
Access revocation on the last day, across every system including third-party platforms, which are routinely missed.
Final pay compliant with state timing rules, with accrued leave treated according to policy and law.
